Requesting and returning case note volumes
You can request a physical case note volume to your location. For example, if you are a clinician in a ward and you need a case note volume for a patient, you can request that case note volume. A medical records clerk brings that case note volume to your location.

If the case note volume you need:

Doesn't exist
You can create a new case note volume
-
Is full
You can create a subsequent case note volume
-
Is lost
You can create a duplicate an existing case note volume.
You can also cancel loan requests. For example, you request a case note volume for a specific appointment, but then the patient cancels their appointment. So you cancel the loan request.

When you are finished with a case note volume, you can mark that the case note volume needs to be returned to the library. A medical records clerk returns the case note volume to the library.

You can't do this on a mobile.
Requesting and returning case note volumes on a desktop

View the patient's case note volumes in Nervecentre.
There are two ways to view case note volumes.

From Medical Records > Manage Case Notes, select Case Notes for Patient.

Select Select Patient and search for a patient.
Or
-
Open the patient's record.

From Inpatients, select Patient List > double-click on a patient's name > Patient Detail.

From Outpatients, select Clinic List > double-click on a patient's name > Patient Detail.

Select Patient admin > Manage case notes.

Select the case note volume that you need.
-
Select New loan request.
-
Choose the borrower code for where the case note volume is going.
Each location has a borrower code.

Enter a borrower code.

To search for a borrower code, select > Search and enter a borrower code.

To use the current borrower code for a case note volume, select > Search and scan the barcode on a case note volume.

To find the borrower code for a specific location, select > Browse by Location and find the location.

Select the case note volumes you need.
You can request:
-
The selected volume
-
The latest volume that is the same type as the selected volume
-
All volumes that are the same type as the selected volume
-

Select a reason for requesting the case note volume.
The options you see depend on your organisation.

Select the date the case note volume is needed.

Enter any notes.

Select Submit.
If the case note volume is in a:
-
Nearby location
Nervecentre tells you where it is, and you can go pick it up. For example, if you are in ward 1 and the case note volume is in ward 2.

Far away location
Your request appears on the list of loan requests for that patient. A medical records clerk finds the case note volume you need and brings it to you.

View a list of loan requests.
To view loan requests for a specific patient:

From Medical Records > Manage Case Notes, select Case Notes for Patient.

Select Select Patient and search for a patient.
Or

Open the patient's record.

From Inpatients, select Patient List > double-click on a patient's name > Patient Detail.

From Outpatients, select Clinic List > double-click on a patient's name > Patient Detail.

Select Patient admin > Manage case notes.

Select the loan request you want to cancel.
-
Select Cancel loan request.
-
Select Cancel loan request.

Sometimes multiple staff members request the same case note volume. If this happens, a medical records clerk might suspend some of those loan requests.
For example, 'Clinician 1' has a case note volume and 'Clinician 2' has requested that volume. 'Clinician 1' still needs the case note volume. A medical records clerk might suspend the loan request from 'Clinician 2' for a few days until 'Clinician 1' has finished using the case note volume.
If your loan request is suspended, you don't get notified in Nervecentre. You can monitor your loan request from Loan Requests, or from Patient Detail > Manage case notes.

Your organisation has a library of case note volumes. When you no longer need a case note volume, you can mark the case note volume as 'Return to library'. A medical records clerk then takes the case note volume back to the library.

Select the volumes you want to return to the library.
You can return:

The selected volume.

All volumes that are the same type as the selected volume.

Enter any comments.

Select Submit.
The borrower code updates to 'RTL'. This indicates to medical records clerks that they need to pick up a case note volume and return it to the library.
